Connect your other calendars

Block times that are already busy in Google Calendar, Outlook or Apple Calendar, and see bookings in Google Calendar.

If you keep personal or work appointments in another calendar, connect it so customers can't book over them.

Google Calendar

In Team & hours, pick yourself and choose Connect Google Calendar. Google asks you to allow three things; leave them all ticked:

  • See when you're busy. SchedNext only learns the times you're busy, never event titles, places or guests. About every 10 minutes those times are blocked on your booking page.
  • See your list of calendars. So you can choose which calendars count. By default only your main calendar does; choose Change to add others, like a family or work calendar.
  • Make its own calendar. SchedNext creates a calendar called SchedNext bookings in your Google account and keeps your bookings in it: new bookings appear, moved ones move, cancelled ones disappear. It can't touch your other events. (Adding bookings is part of the paid plans; busy times work on every plan.)

Each team member connects their own Google account from their own login. Owners and admins can see the connection and disconnect it.

Disconnect Google Calendar removes the SchedNext bookings calendar from Google, stops using your busy times straight away and removes SchedNext's access. If you removed SchedNext's access in your Google account instead, the card shows access removed: connect again to keep syncing.

Outlook, Apple and other calendars (iCal link)

You give us your calendar's private iCal address. Every 15 minutes we check it for busy times and block them on your booking page. We only store the start and end times — never event titles, locations or attendees. This is one-way; to see your bookings in Outlook or Apple Calendar, subscribe to your calendar link.

Find your private address:

  • Outlook / Microsoft 365: Settings → Calendar → Shared calendars → Publish a calendar → copy the ICS link.
  • Apple iCloud: share the calendar as a public calendar and copy the link (it starts with webcal://, which works too).
  • Google Calendar also has one (Settings → the calendar → Secret address in iCal format), but connecting Google directly is easier and faster.

Treat this address like a password: anyone with it can see your calendar.

In Team & hours, pick yourself, scroll to Other calendars (iCal link), give it a name and paste the address. We check it straight away and tell you if it works. You can connect up to 5 calendars per person, check one again with Check now, or Disconnect it (its busy times are removed immediately).

If a calendar shows needs attention, we couldn't read it three times in a row — usually because the address was reset. Copy the new address and connect it again. Until then, the last busy times we saw stay blocked, so nothing opens up by surprise.
